3.1 Purpose of Medical Document Upload
The Neorgana consultation booking process allows families to upload medical documents — such as diagnoses, imaging reports, therapy summaries, neurological assessments, or other clinical records — to support the candidacy review process. Submitting documents in advance enables our medical team to conduct a more thorough pre-consultation review and make the best use of your consultation time.
3.2 Who Reviews Your Documents
Uploaded medical documents are reviewed exclusively by the Neorgana clinical team, including:
- Dr. J. Omar Novelo-Baeza, MD, Medical Director
- Supporting clinical specialists involved in the candidacy review process
Documents are not reviewed by administrative or non-clinical staff except where necessary for secure document handling and routing.
3.3 Confidentiality and Non-Disclosure
Medical documents you upload will not be shared with any third party outside the Neorgana clinical team, except as described in Section 2.6 of this Privacy Policy (i.e., with participating clinic partners involved in your child's care, and where required by law). We will never use your medical documents for commercial, marketing, or research purposes without your separate and explicit written consent.
3.4 Data Security
Uploaded documents are transmitted and stored using secure methods designed to protect sensitive health information from unauthorised access, disclosure, or loss. Access is restricted to authorised clinical personnel only. We apply industry-standard technical and organisational measures to protect your data.
3.5 What to Upload — and What Not To
You are encouraged to upload documents that are directly relevant to your child's neurological condition and clinical history, such as:
- Neurological assessments and reports
- Imaging results (MRI, CT, EEG)
- Previous therapy evaluations or summaries
- Genetic test results relevant to the condition
- Prior treatment records
Please do not upload documents containing financial information, insurance details, or information unrelated to your child's medical history.
3.6 Voluntary Submission
Document upload is voluntary. You are not required to submit medical documents to book an initial consultation. However, providing relevant documents in advance may improve the quality and depth of the clinical review during your consultation. Our team may request additional documents following your consultation if needed.
3.7 Retention of Uploaded Documents
Uploaded medical documents are retained in accordance with the data retention policy described in Section 2.10. If you would like your documents to be deleted prior to the standard retention period, please contact us at [email protected].
3.8 Consent at the Time of Booking
By proceeding with your appointment booking and uploading medical documents, you confirm that:
- You are the legal parent or guardian of the patient named in the booking
- You have the legal authority to share the medical information provided
- You have read and understood this Notice and the Privacy Policy (Section 2)
- You consent to the Neorgana clinical team reviewing and using the submitted documents for the purposes of candidacy assessment and clinical consultation
